Personal Information Provided by You. The personal information we collect may include:
Account information: your name, email address, and password (stored only as a secure salted hash — we never store your password in readable form). Financial Data: transactions, amounts, dates, descriptions, categories, recurring bills, and similar bookkeeping records that you enter or import. Documents: receipts, invoices, and similar files you upload. Communications: messages you send us for support. Billing Data. We may collect data necessary to process your subscription. Sensitive Information. We process the financial account and transaction information you provide or connect in order to deliver bookkeeping features. We do not process other special categories of sensitive information.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes.
Information automatically collected In Short: Some information — such as your IP address and/or browser and device characteristics — is collected automatically when you use our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, actions taken in the Service, and other technical information. We use this information to maintain the security and operation of our Services, for troubleshooting, and for internal analytics and reporting.
The information we collect includes Log and Usage Data and Device Data.
Information from your connected bank or financial account In Short: When you choose to connect a bank or financial account through a provider such as Plaid, we access only the account and transaction information you authorize, and only to provide bookkeeping features to you.
Elite Books offers an optional integration that lets you connect a bank or financial account so that your transactions can be imported automatically. If you choose to use this integration, you authorize the provider (for example, Plaid) to share the account and transaction information you select with us. With your authorization, we access data such as:
Basic account information for the account(s) you choose to connect (for example, account name, type, and masked account number) Transaction history for the connected account(s), including dates, amounts, and descriptions How we use this data. We use this data exclusively to import and organize your transactions inside your Elite Books account. We do not sell it, use it for advertising, or share it with third parties for advertising or brokering purposes.
Bank login credentials. Your bank login credentials are entered into and handled by the connection provider. They are never seen or stored by Elite Books.
How to revoke access. You can disconnect a linked account from Elite Books at any time from your account settings. You can also revoke access independently through the connection provider (for example, through Plaid's portal at my.plaid.com).
We process your personal information for a variety of reasons, including:
To facilitate account creation and authentication and otherwise manage user accounts To deliver and operate the bookkeeping Services, including importing, categorizing, and organizing your Financial Data To provide AI-assisted features, such as categorizing transactions and extracting data from receipts and documents you upload (see Section 6) To process your subscriptions and payments To respond to your inquiries and provide support To send you administrative information, including changes to our terms and policies To detect, prevent, and investigate fraud, abuse, and security incidents To comply with our legal obligations
If you are located in the EU or UK: We may rely on Consent, Performance of a Contract, Legal Obligations, and our Legitimate Interests to secure and improve the Services.
If you are located in Canada: We may process your information where you have given us specific permission (express consent) or in ways that can be reasonably expected where such consent can be inferred (implied consent). You can withdraw your consent at any time.
We share information only as needed to run the Services:
Service providers / sub-processors. We share information with third parties that process data on our behalf under contract, including infrastructure and storage (Cloudflare), payment processing (Stripe), email delivery (Resend), AI processing (our AI provider), and, if you enable it, bank connectivity (Plaid). These providers are permitted to use your information only to provide their services to us. Legal and safety. We may disclose information where required by law, subpoena, or similar legal process, or to protect the rights, property, or safety of Elite Books, our users, or others. Business transfers. We may share or transfer your information in connection with, or during negotiations of, a merger, acquisition, financing, or sale of assets, subject to this Policy. We do not sell your personal information and do not share it for third-party advertising.
We may use cookies and similar technologies to keep you signed in, remember your preferences, secure your account, and understand how the Services are used. We use these technologies primarily to operate the Services rather than for advertising. Where required, you can control cookies through your browser settings.
Certain features use artificial intelligence — for example, categorizing transactions and extracting data from the receipts and documents you upload. To provide these features, relevant data (such as transaction descriptions and receipt images) is processed by third-party AI service providers under agreements that restrict their use of your data to providing the service to us. AI output may be inaccurate or incomplete and is provided for your review. We do not sell this data or use it for advertising.
We retain your data for as long as your account is active and as needed to provide the Services. After your account is closed, we may retain data for a reasonable period to comply with legal, tax, accounting, or fraud-prevention obligations, after which it is deleted or de-identified. You may request deletion as described below, subject to those obligations.
We have implemented appropriate technical and organizational security measures designed to protect your information. Your data is stored using Cloudflare infrastructure. Documents are stored encrypted at rest, and passwords are stored only as salted hashes. Each customer's data is logically isolated from other customers'. Access to production systems is restricted.
Staff and administrative access. Authorized Elite Books personnel may access account data, including Financial Data, on a limited basis to provide support, resolve issues, prevent fraud, and operate the Service. Such administrative access is restricted to what is reasonably necessary and is recorded in audit logs. We do not access your data for any purpose other than operating the Services and complying with law, except with your consent.
No system is perfectly secure. We cannot guarantee absolute security, so you should access the Services within a secure environment, keep your credentials safe, and maintain your own backups of important data.
The Services are not directed to children under 18, and we do not knowingly collect their information. By using the Services, you represent that you are at least 18 years old. If you become aware of any data we may have collected from a child, please contact us at support@elitebooks.app and we will delete it.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right to: (i) request access to and obtain a copy of your personal information; (ii) request rectification or erasure; (iii) restrict the processing of your personal information; (iv) request data portability; and (v) object to the processing of your personal information.
You can also access and edit much of your data directly in the Service and can export your records. We will not discriminate against you for exercising your rights.
Withdrawing your consent. If we are relying on your consent to process your personal information, you have the right to withdraw your consent at any time by contacting us at support@elitebooks.app or updating your preferences.
Account Information. If you would like to review or change the information in your account, or terminate your account, you can log in to your account settings, or contact us. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases, subject to the retention obligations described in Section 7.
If you have questions or comments about your privacy rights, you may email us at support@elitebooks.app.

If you use a browser or extension that supports GPC, we will treat this as a valid request to opt out of the sale or sharing of your personal information for targeted advertising.
